A note on this pageTrackLedger is a design concept, not a live service. This page shows how we'd write our policies, and it isn't a binding agreement or legal advice. A real version would be reviewed by lawyers in each country we operate in.

Privacy

In shortWe collect what we need to record your splits and pay you, we don't sell it, and you can see, correct or delete it whenever you like.

This notice explains how TrackLedger ("we", "us") handles personal data when you use our website, apps, split sheets, credits pages and payout services. TrackLedger operates from the United Kingdom and Nigeria. Where we process data about people in the UK, we do so under the UK General Data Protection Regulation and the Data Protection Act 2018. Where we process data about people in Nigeria, we do so under the Nigeria Data Protection Act 2023. Where other local laws give you more protection, we follow those too.

For most of the data described here, TrackLedger is the data controller. When a label or studio uses TrackLedger to manage its own roster, we may act as a processor on its behalf, and its own privacy notice also applies.

What we collect

In shortYour name and contact details, the splits you agree, the details we need to pay you, and basic information about how you use TrackLedger.
  • Identity and contact details: artist name, legal name, email address and phone number.
  • Rights information: roles, song and recording shares, collecting society memberships, publisher details and writer IDs.
  • Signatures: the time, device information and sheet version recorded when you sign, so there's a reliable record of what you agreed.
  • Payout and tax details: bank, card or mobile money details, currency and, where required, tax forms. Payment details are held by our regulated payment partners and we only see what we need to show your statements.
  • Usage data: pages visited, features used, device and browser type, and approximate location from your IP address.

If someone adds you to a split sheet before you've used TrackLedger, we receive your name and contact details from them so we can send you a signing link. You can ask us to remove you at any time.

How we use it

In shortTo run split sheets, register your work, pay you, keep accounts secure and improve the service. Never for selling to advertisers.

We use personal data to provide the service you asked for (our legal basis is performing a contract with you), to meet legal obligations such as financial record-keeping and anti-money-laundering checks, and for our legitimate interests in keeping TrackLedger secure and improving it. Where we rely on consent, for example for marketing emails or non-essential cookies, you can withdraw it at any time.

We don't make decisions about you based solely on automated processing that have legal or similarly significant effects.

Who we share it with

In shortThe people on your sheet, the societies and distributors that pay you, and the companies that help us run TrackLedger. Nobody else without a good reason.
  • Your collaborators: everyone on a split sheet can see the names, roles and shares on that sheet. Payout details are never shared with them.
  • Societies and distributors: when you ask us to register a track, we send the rights information they need.
  • The public: only the credits you choose to publish on a credits page.
  • Service providers: hosting, payments, identity checks, messaging and support tools, each under contract and only for the purposes we set.
  • Authorities: where the law requires it, or to protect people from fraud or harm.

Some of these parties are outside the UK and Nigeria. When we transfer data internationally we use safeguards recognised under the laws that apply, such as approved contractual clauses.

Your rights

In shortYou can ask for a copy of your data, fix it, delete it, move it or object to how we use it. We'll answer within a month.

Depending on where you live, you have the right to access your personal data, correct it, ask us to delete it, restrict or object to certain processing, and receive it in a portable format. You can do most of this from your account settings, or email us at privacy@trackledger.fm.

If you're unhappy with how we've handled your data, please tell us first. You can also complain to the Information Commissioner's Office in the UK or the Nigeria Data Protection Commission.

How long we keep it

In shortSigned sheets and payment records for as long as the law and your royalties need them; everything else, only as long as it's useful.

Royalties can arrive years after a release, so we keep signed split sheets and their signature records for as long as the track can earn money, plus a reasonable period afterwards to deal with any questions. Financial records are kept for the periods required by tax and financial regulations, typically six years. Usage data is kept for up to 24 months. If you close your account, we delete or anonymise anything we no longer need, but your collaborators keep their copy of any sheet you signed.

Terms

In shortUse TrackLedger honestly, only add people who really worked on a track, and remember that the agreement on a split sheet is between you and your collaborators, not with us.

These terms apply when you use TrackLedger. By creating an account or signing a split sheet, you agree to them. If you use TrackLedger on behalf of a label, studio or other business, you confirm you're authorised to accept these terms for it.

TrackLedger provides tools to record, sign and administer agreements between collaborators. We aren't a party to those agreements, we don't decide what anyone's share should be, and nothing on TrackLedger is legal, tax or financial advice.

Accounts & split sheets

In shortKeep your login safe, keep your details accurate, and only claim what's yours.
  • You're responsible for activity on your account and for keeping your sign-in details secure.
  • Information you add, including names, roles, shares and writer IDs, must be accurate to the best of your knowledge.
  • You must not add people to a sheet without a genuine reason, claim shares you aren't entitled to, or upload content you don't have the right to share.
  • A signed sheet can only be changed by a new version signed by everyone named on it.

We may suspend accounts that break these terms or put other people at risk, and we'll tell you why unless the law prevents us.

Payouts & fees

In shortWe pay on the 1st of each month, in your currency. Solo has a 2% payout fee; Band is £8 a month with none.

Where you ask TrackLedger to collect and distribute royalties, we pay each person their share on the 1st of each month, after any amounts held in the holding pen and any applicable fees. Payouts below the equivalent of £5 roll over to the following month. Exchange rates are shown on your statement at the time of conversion.

Fees are set out on our pricing page. Paid plans renew automatically until cancelled, and you can cancel at any time from your account; cancellation takes effect at the end of the billing period. We'll give you at least 30 days' notice of any price change.

You're responsible for any tax due on money you receive. We may need to verify your identity before paying you, and may delay or withhold payouts where we reasonably suspect fraud or where the law requires it.

Liability

In shortWe'll do our job carefully and put things right if we get them wrong, but we can't be responsible for disputes between collaborators or for delays by societies and distributors.

We provide TrackLedger with reasonable care and skill. We aren't liable for losses caused by inaccurate information supplied by users, disagreements between collaborators, or delays and errors by third parties such as collecting societies, distributors and banks. To the extent the law allows, our total liability to you in any 12-month period is limited to the greater of the fees you paid us in that period or £100.

Nothing in these terms limits liability that can't legally be limited, including for death or personal injury caused by negligence, or for fraud. If you're a consumer, you also keep your statutory rights.

These terms are governed by the laws of England and Wales, except where the law of your country of residence gives you the right to bring a claim locally.
